Contract Coordinator (Install)


Salary: £19,000 - £20,500 dependent on experience

Job Type: 12 Month contract covering maternity. 8:00am - 5:00pm

Location: Head office

To assist the Domestic Gas Installation Department with arranging surveys for new gas boiler installs and collating paperwork ready for completion/invoicing.
To control the daily work of a team of engineers over a specified geographic area to ensure Client requirements are met according to company standards, principles and to drive continuous improvement in those areas.


Job Specification

  • To review jobs received during the working day and allocate accordingly to Engineers
  • To review outstanding jobs with reference to specified response times, evaluating the nature and importance of the instructions, ensuring that calls are responded to with reference to both the importance of the works and the contractual response times
  • Where necessary allocating specialist sub-contractors, giving response, completion and access details, and other relevant information, to ensure compliance with Client requirements
  • To enter into the “Contract Diary” relevant information of appointments made for engineer attendance/response in order to maximise attendance within response times whilst minimising standby and travelling time
  • Raising purchase orders when ordering materials and ensuring deliveries are made on time
  • To check engineer’s paperwork/ PDAs to ensure written details match those reported by phone and recorded to ensure that the engineer’s documentation is correct and accurate
  • To record details of conversations or other forms of communication regarding jobs to provide an audit trail of actions taken
  • To record any site-specific information received, and to ensure that any relevant details already held are reviewed and acted upon when allocating jobs
  • As and when required, compile contract data and associated client correspondence reports
  • To assist on other contracts as and when required
  • Working on a number of different contracts at any given time
  • Provide admin support across various work streams
  • Any other duties as reasonably requested

Knowledge and Experience (Essential)

  • Good written and oral communication skills
  • The ability to plan and prioritise, resolve issues and meet targets and deadlines
  • Experience of working in a technical team within the social housing sector
  • A good team player with the ability to demonstrate excellent customer care skills
  • Good IT skills and good knowledge of excel 

 

Skills (Desirable)

  • Full UK driving licence preferred due to location
  • The ability to plan and organise other people's work, and motivate them
  • Previous experience working with County Councils, London Boroughs, Social landlords and Blue-Chip Clients

Job Specification

  • To have a detailed knowledge and experience of main boiler manufacturer installation and servicing requirements and instructions
  • To be proficient in carrying out full commissioning of gas heating boilers and associated controls on completion of installation or servicing works
  • To be able to demonstrate and have a good fault finding /diagnostic skill and to carry out necessary repairs/replacement of defective parts etc
  • To be competent of draining down and re-filling of heating system/s in order to remove and replace defective/leaking radiators or associated isolation valves
  • To ensure that all work carried out complies with the relevant sections of the ‘Health and Safety at Work Act’ (risk assessment, asbestos awareness etc.)
  • To carry out on a rota basis out-of-hours emergency call outs
    Any other duties as reasonably requested

Knowledge and Experience (Essential)

  • To be competent both by qualification and experience
  • Good practical skills and problem solving skills
  • The ability to work carefully, methodically and safely
  • To be able to work with minimum supervision allowing that majority of work is carried out in a lone working environment
  • To have a detailed knowledge and experience of boiler Fluing arrangements, encompassing building fabric or materials used that may have to be penetrated.
  • To hold a valid full UK driving licence
